Microsoft Certified Software

The Palladium Product range is Microsoft Certified having undergone stringent code tests. In addition the Palladium Product range is also Windows 10 and SQL 2016 compliant in both 32 and 64-bit computing.

Data Connection / Wireless Networking

Palladium makes use of on-demand database connections allowing it to run seamlessly in the most challenging of environments, supporting the simplest stand-alone system, to the local area network environment with full support for wireless networking technologies, right to the wide-area (remote access) solution. Our embedded VPN functionality facilitates wide area connectivity across multiple servers or simply for a user to work from home without the need to purchase other 3rd party terminal emulation software, and all from the exact same Palladium System Interface.

Data Hosting

With our Data Hosting option you no longer need to purchase or maintain file server or purchase the MS SQL Server database. Simply install Palladium on your Windows Desktop or Windows Tablet, connect to the database using your secure credentials and start processing from wherever you are in the world!

Excel Reporting Pack

Our Excel Reporting pack allows you to access your Palladium data in Pivot-style formats from anywhere in the world.

Bank Manager

The Bank Manager module allows you to import your transactions from your bank, map these entries to the Customer, Vendor or General Ledger Accounts. Once the accounts are mapped, the system remembers this with the ability to amend the mapping as required.

Document Adjustment Tracking

We can now track adjustments of all sales and purchase documents with colour coding for added items, removed items and another for adjusted quantities and values.

Integrated Microsoft Power BI (Business Intelligence)

We have partnered with Microsoft Power BI, to supply our clients with state of the art Business Intelligence to their browsers, tablets or smartphones free of charge. Because Palladium runs on the latest MS SQL Server database infrastructure, we have created a Microsoft power BI Integration Reporting pack, that allows our customers to seamlessly integrate their salient business information directly to the Microsoft Power BI application.

Powerful "Any Date" Reporting

Thanks to our SQL database and advanced design, Palladium offers full real-time, or "Any-Date" Reporting. This means is that you can run reports at any date in History. These include, Customer and Supplier Aging Reports, Inventory Aging Or Valuation Reports and even Financial Reports such as a Trial Balances Or Balance Sheets at any date as well as Income Statements between any 2 dates for unsurpassed reporting power.

Advanced Directional Printing (ideal for Branches/Departments/Cost Centres or Warehouses)

Add Attachments to all screens

You can now add attachments to all Masterfile and Processing screens such as invoices, for ease of reference. This allows you to attach customer orders to Sales Orders or POD's to invoices, with the system detailing the number of attachments.

Withholding Tax

We have added the ability to cater for Withholding Tax that will allow you to use this tax on Selected Customer or Vendor Receipts and Payments.

General Ledger IconGeneral Ledger

Powerful General Ledger & User-Account Security

Our General Ledger caters for Main and Sub-Accounts as well as full departments or branches and also has full cost centre allocations for a complete multi-dimensional reporting view of your business. In addition each General Ledger Account has the option to be Reconciled for accounts such as provisions or accruals with user account security set per General Ledger Account. This roll-up security feature even stops staff from invoicing items whose sales or cost accounts are disallowed at General Ledger level.

General Ledger – Subsidiary Ledger

The subsidiary ledger feature allows you to maintain certain information relevant to a specific account. For example, it could be used for audit schedules for “reconciled” accounts or simply a list of Fixed Assets such as Motor Vehicles. Because of its free format, the Subsidiary Ledger sits “outside” the standard General Ledger and has no financial transactional bearing on the system.

Segmented General Ledger

This function allows you to create up to 10 segments of General Ledger Account Number with the ability to filter and run all financial reports per selected combination of segments. You can also increase or add segments at any time. Below is the main Ledger Segment setup screen.

Bulk Request for Quotations (RFQs)

This feature allows you to create a bulk Request for Quotation that will send one RFQ to Multiple Vendors. Once the tender price has been accepted, the function will allow you to create Purchase Quotes or Purchase Orders for the successful Vendor per item, all from one function.

Print Item Images on Sales and Purchase documents.

Have the ability to print the default Inventory Item image to sales documents including Invoices and Sales Orders, with the ability to include these on Customer Price lists as well. As the adage goes, a picture paints a thousand words.

Extended Enquiry Screens

The Vendor Enquiry function has been enhanced to allow a separate and secure, Business Intelligence type, view into all the general information and settings relating to a Vendor, alleviating the need to access the Vendor Edit Function or run disparate reports. Flexible Vendor Terms

Our flexible terms feature allows you to define negotiated terms on a per document basis, either from date of invoice or from date of statement for both Customer and Vendor invoices.

Maintain Multiple Vendor Prices Per Item

Palladium allows you to maintain a number of Vendor Pricing per item, maintaining the Vendor's Code, Description, Price and Warranty. In addition you can use these intelligently when selecting a Vendor on creating a Purchase Document on the Fly using the Freehand Quotes function found in the Accounts Receivable section.

Document Bookmark's & Quick Transactional History Lookups

You are able to view Vendor History at a glance on all processing documents with the ability to copy these items onto the processing document with one click. The ability to Bookmark documents for quick reference gives you the ability to copy items from one document to any other document in seconds. Document Status Options

Set Document Status types for each processing document, allowing you to manage the status and resulting follow up process. In addition the Status can be changed dynamically without the need to adjust the document itself. If you look at the example below you will see that all the non-transactional information can be modified on-the-fly allowing you to track or edit the relevant document statuses with ease.

Vendor Payment Pre-Approvals

This function allows you to print a payment request, approve it accordingly then process it, copying the details directly from the Payment Approval Advice, in a few simple clicks.

Apply Additional Costs to Received Goods

You can assign an unlimited number of additional costs to a specific goods received batch. Costs can be apportioned proportionately by the total shipment Quantity or Value, or can just be assigned manually as required. In addition the additional costs are accrued to a provision account allowing you to even assign charges with or without and Additional Cost invoice from a Vendor. View Article

Copy Create Purchase Orders from Sales Order

This feature allows you to create Purchase Orders by copying over the details of one or more Sales Orders to the Purchase Document. When the goods are received the system will also detail the Sales Order details at time of processing the Goods Received Voucher in order to expedite the fulfilment of the order. This is particularly useful in handling buyouts with the Sales Order details taken through to the Purchase Document catering for full traceability from Cradle to Grave.

Purchase Price Variance Control on Purchase Documents

You can now manage the cost prices on purchase documents and set an allowable variance with the ability to Allow, Warn or Block the variances. In addition we have the ability to drill down to the Previous Purchases of that specific item in order to negotiate with your Vendors.

Freehand Quotes Facility (Dynamic Trading)

A true gem in the Palladium Suite, this function allows users to create freehand-style Quotes for any Current or Prospective Inventory Items for Current and Prospective Customers. Simultaneously convert the Freehand Quote to a Sales Quote or Order on the fly, as well as to one or many Purchase Quotes or Orders based on the preferred Vendor (refer "Multiple Item Vendors" point below), all from one screen, with the option to convert the Prospective Items and Customers to Active Items/Customers alike. In addition recommend margins are maintained and item costs are pulled straight through to the Purchase documents all in one go.

Contract Pricing

With Contract Pricing you can set specific overriding item discounts per Item category based on the total value of the invoice and assign it to a single Customer, or range of Customers. The contract pricing option has a sub-price list (or versioning) facility that will allow you to create future price lists as well as maintain all previous item prices within a single function for the different From and To date ranges.

Courier Integration

Integrate invoices directly to Dawn Wing Courier company, with the system allowing you to create standard shipping box sizes and dimensions for ease of use.

Receipting to Sales Orders

The ability to receipt against sales orders or request for credits is a great way in which to track client claims for returns or claims for discounts or rebates. In addition, this feature is ideal for the management of layby’s with the ability to include the sales order details on the Customer’s Statement.

Attach files on the Fly with Emailed Sales Documents

You can attach related files on the fly with emailed sales documents. When setting up inventory item file attachments, you can set whether the document is auto-mailed with the relevant sales document, such as invoices, orders etc, and when the sales document is created, all related documents are attached and sent accordingly. This information could be installation instructions, manufacturing certificates, warranty information or even a sales document recommending related items.

Display Gross Margin on all Sales Documents

This is an optional setting, per user, that allows you to view the Gross Margin (Gross Profit as a % of Sales) per line item, as well as a total per document, allowing you to negotiate pricing on a real-time basis. We have also added the ability to display the cost as the Standard Cost / Last Received Cost / Moving Average (summary) / Moving Average per Location / Greater of the Last Received Cost or Moving Average Price.

Email Statements with Invoices

Optionally attach overdue or all invoices as attachments on the fly with emailed customer statements.

Increase your Revenue with Palladium's Dynamic UP-SELL Functionality

Palladium has an advanced UpSell Functionality that allows you to set an unlimited number of "UpSell" Items with settings for Optional Dynamic Prompting per processing Document. This feature makes it simple for new employees to sell specialised products with little experience of the business, ensuring maximised revenue potential at all times. Credit Note Pre-Authorisations with Credit Reason Codes

Automatically Update certain or all of your Inventory Item selling prices for specific customers. This feature allows you to define a price list as a "List" or a "Markup On Cost" type pricelist. The Markup on Cost pricelist has the ability to change the selling price dynamically at the time of Receiving or on the Manufacturing of Inventory items, with a set Markup by Item Category. The ability to change the price for increases only, with a full audit trail report on all changes by user and the option to have an unlimited number of customer pricelists, rounds off this feature.

In-Document Authorizations & Price Override Reason Codes

An option has been added to the Customer Sales Invoice function allowing for an In-Document Management Authorization override on the amending of the item Price, Discount or overall document discount fields. This acts in the same way as the credit note approval function, and will invoke for the authorisation on amending.

Warehouse Security

Palladium has extensive User-Warehouse Security normally only found in very expensive ERP systems. The security is twofold, in this it controls specific user access to warehouses and also governs processing functions such as Customer Returns of the Receiving of Goods regulating the flow of Inventory throughout your business.

Multi-Warehousing and Distribution

Palladium Accounting boasts full Multi-Warehousing and distribution capabilities with unique item valuation methods maintained on a per item, per warehouse basis. Distribution is managed from invoice through to packing slips and containers for consolidated deliveries.

Optimise Deliveries & Distribution with Shipment Consolidations & Delivery Routes

The current Shipping Distribution and consignment grouping function has been enhanced to include Delivery Routes with allocations to a specific drivers and selections across multiple customers. In addition to this a default "packing order" field has been added to recommend a placement for that specific customers delivery within the vehicle. This is particularly valuable when delivering perishables or delicate items as it eliminates the need to search for parcels and optimizes the entire distribution process. The ability to print Packing Lists and Shipment Manifests, with full label printing, rounds off this critical feature for the discerning warehouse manager.

Inventory Reorder Optimisation

This feature allows you to set inventory minimum levels based on calculated days sales, a safety factor, vendor lead days, days stock on hand, maximum levels and even an economic order quantity to cater for the most complex of inventory management. In addition the recommended reorder report can be populated in a form where you can select your preferred vendors, adjust prices and create mas purchase orders, grouped by Vendor.

Processing Buyouts

This function allows you to Buy and Sell non-standard items with the ability to assign the Cost of the Sale item on the fly at time of sale with the contra being assigned to the Buyout Control Account. When the item is purchased, it is allocated to the same Buyout Control Account having a null effect in your accounts.

Item Dimensions

Create quantities by entering Dimensions when processing all sales documents. Further to this, you can set the dimensions as an entry field or simply just as a factor. Additionally you could enter multiple dimensions for one sales item line allowing you to take measurements for 10 different sizes of glass in one sales line with the dimensions printing on the sales order.

Inventory Repackaging

This allows you to repackage items across other items with validations to ensure the weights and lot numbers are properly controlled, with wastage being controlled and reported on.

Internal Requisitions and Issues

The Internal Requisition and Issue function allows employees to request Inventory for Internal Consumption, with these costs being allocated to a specified cost account. The fact that this is a 2-step process facilitates the request/approval process with a Requisition being printed for better Store control. In addition you can also post the Costs to Projects.

Delivery Charge Maintenance

Charge clients based on the order weight (actual or volumetric), number of packages, number of pallets, distance to the client and even use a combination of the above.

Works Order

A new works order function allows you to create a Works Order (or group Assembly Jobs) from a Production Schedule, added Manually or Copied from a Sales Order. Copying from a Sales Order allows you to track the Customer Details throughout the manufacturing process. The purpose of the Works Order function is to allow you to print a bulk, or Combined Materials Issue for the store. If you refer to the screen you will see that when we select the Item to Manufacture on top, that the components are listed on the screen below for greater detail.

Advanced Assembly

The following has been added to the existing Assembly function in the Palladium Enterprise Edition.

Schedule Calendar

You can now add planned jobs to a Graphical Work Schedule in Calendar Format that allows the production manager to view jobs scheduled for a specific period such as day or month.

Manufacturing Production Schedule

Here you can create a planned production schedule with expected production dates to better manage your production in a Calendar View. Items entered will create demand for the various raw material components ensuring timely procurement and ordering.

Item Copy & Numbering Conventions

Palladium has the ability to set Item Numbering Conventions for both Inventory and Service Items. This ensures that numbers are created based on company standards ensuring ease of processing. Segments can include Units such as Length or Type with you having the option to include or exclude the Item Hyphen Separator as part of the code or not. This function is supported by the ability to renumber your existing inventory Items and the ability to create an item by copying from another to speed up the item creation process. New Items can also be imported from Excel.

Optimise Inventory Ordering through Vendor Order Form

Order Inventory from Vendors from an informed point of view by having all pertinent information at hand to purchase the correct quantity at the correct price using the Palladium Order form found in the Purchase Order and Purchase Quote functions. At the press of a button you can filter by Vendor, Inventory Category, Inventory Location or even by Customer Pricelist. View on-hand quantities, sales for the last Year, Month as well as a recommended order quantity.

Manage Reorder Points with the Inventory Forecasting Utility

Palladium allows you the ability to effectively manage your Inventory Reorder Points by calculating the usage over a defined period and recommending the new reorder points that can be amended and updated at the push of a button. This function can be done per warehouse or across all warehouses for a centralised purchasing function.

Stock Takes

Conduct full or periodic stock takes manually, or with the aid of hand-held scanners. Perform first and second counts with full "compare" facilities, then simply update.

Manufacturing & Kitting On-The-Fly

Palladium caters for basic Manufacturing with the facility to open a job, manufacture multiple items (and by-products) as well as add additional costs. You can also set the item to manufacture on the fly with the system drawing the components at time of invoicing. An Un-Manufacture Facility allows you to set bills for a Reverse Manufacture or Disassemble process. An example where this may be used is in the Butchery Profession in the breakdown of a Carcass, or used to simply decant large drums of liquids into multiple, smaller derivatives. In addition you can set a Standard Bill Of Material to Manufacture a Pre-Defined Quantity, say 1000L of Paint, making the Bill Of Material a practical and straight-forward process. The Kit-On-The-Fly function also allows you to set prices for a set quantity of items (say 6-of) and when invoicing the system will draw 6 off the base item. Manage Repairs & Related Repair Costs

The Item Repair Function allows users to set up a default Repair Cost by item. When an item is returned, using the Credit Note Authorization Function, they will have the ability to Select Repair as depicted in the screen below. Once the Repair option has been selected, the return cost will default to Zero and a Sales Order will be created on the fly reflecting the Item Repair Cost in order to track outstanding repairs effectively.

We have added the ability to view the Item Weights on all Processing Documents.

Internal Requisitions and Issues

The internal Requisition and Issue function allows employees to request Inventory for Internal Consumption, with these costs being allocated to a specified cost account. The fact that this is a 2-step process facilitates the request / approval process with a Requisition being printer for better Store control. In addition you can also post the Costs to Projects.

Process Manufacturing

The Process Manufacturing feature is a new Module that works independently from the current Assembly Function found under the Inventory section in the Palladium Business and Enterprise editions. This feature allows you to Create Jobs, Setup Work Centres and Post Work in Progress in the form of Inventory, Service, Labour, Machinery and Overhead costs that will remove the items from Stock and post to the WIP Account. On Closing a Job, the total costs get removed from WIP and the finished Goods updated with the respective cost.

Bill of Materials

If you refer to the Bill of Material screen below you will see that we have set a number of Work Centres in the form of steps, with the ability to Assign or Issue the Inventory, Labour, Machine Costs and Overhead Costs per Work Centre with the Variances being reported on a per Work Centre basis for optimal cost analysis and Variance control.

The remote Sales Terminal (RST) module is an independent module that allows employees at Remote Sites, or Sales Reps on the road to be able to Create Customers, capture Sales Quotes and Orders as well as perform Inventory Enquiries on a completely offline basis with the option to Synchronise to the Head Office data.

Integrated SMS Functionality

The SMS features in Palladium allow you to send SMS messages to your clients or lists of Potential clients from Excel or Outlook. Filter using our user-defined fields to send specific messages to a focused group of clients. In addition the system caters for customer responses so you can follow up from an informed point of view. Statements and notification of overdue accounts can also be sent to customers. This function can also be used to alert users on overdue tasks or advise clients on the processing of Sales Documents. This functionality can also be installed as an independent module.

Multiple Depreciation Rates

The Palladium Fixed Assets Module allows you to cater for up to 5 different depreciation rates or types per Asset, allowing you to cater for things like Company Value / Tax Value / IFRS or GAAP values with one integrating to the General Ledger.

Asset Cost Management

Record and manage all costs relating to Asset vs the output for a desired period using the Asset Efficiency report. When processing a repair and maintenance cost, Palladium will request details of the Asset that this relates to and record it accordingly. Then set usage/output for that asset for the period and report accordingly.
